Shared Equipment Guidelines
To ensure the health and safety of members in our departments we have established scheduling and use guidelines for shared equipment. We are trusting you to be courteous, to schedule items before use, and to practice good hygiene.
Scheduling
Scheduling for individual equipment items is performed using your UW Office365 Calendar by adding the instrument as a resource to a meeting. To reserve one of these resources, follow the instructions located at https://kb.wisc.edu/63454 or see detailed instructions below. Basically, you will create a meeting on your personal Office365 calendar and invite the relevant resource to your event.
A list of all scheduled equipment can be found below. Equipment may be reserved up to 7 days in advance.
Monopolization of instrument schedules will not be permitted. Please be respectful and do not sign up for consecutive time slots.
Instrument use will be audited. Overbooking and monopolizing equipment unfairly will result in restricted scheduling privileges after discussion with the user’s PI.

Instructions for Reserving Equipment using Electronic Scheduling Resources
These instructions explain how to make a reservation using the Wiscmail web client. You can also make reservations using Microsoft Outlook using the DoIT instructions above.
- Identify the equipment’s resource ID, review rules, and view calendar.
- Review your laboratory’s COOP and departmental and university guidance for conducting research and social distancing.
- Identify your equipment and read the rules for equipment sign-up.
- Click the equipment link to view the resource calendar to determine when the equipment is free and when you can sign up.
- Copy the equipment’s resource address.
- Make and confirm an equipment reservation.
- Login to https://wiscmail.wisc.edu using NetID.
- Click on the Outlook calendar icon.
- Click “+ New event”
- Fill out the required information and hit “Send”.
You should receive a confirmation e-mail and your reservation should appear on the resource calendar.
Shared Equipment Housed in Individual Labs
There are several pieces of shared equipment housed in individual labs, the calendar requests of these instruments require approval from the home lab before it can be booked. These items are noted in the Rules/Notes section of the resource listing below. Reservations for this equipment will be tentative until approved by the lab.

Autoclaves will be reserved individually, with a 3-hour maximum.
You must attend in-person training or view the training video to reserve the new autoclaves.

Biochemistry Laboratories Building Equipment
Notes
Some equipment normally housed in Room 324 has been moved to other locations. Room 324 currently houses the Typhoon, NIR Typhoon and ImageQuant LAS. The iBright has been moved to room 203. The RT-PCR and Photodyne Gel Imager have been moved to Room 348. The Photodyne Gel Imager does not require a reservation but you may only enter room 348 if it is empty.
The Lyopholizer in room 424 is not part of the scheduling system. Please check the Sonicator calendar to verify the room isn’t currently in use before putting on or taking off your sample and leave the room while the sample is running.

Glasswash
Notes
Biochemistry glass washing pickups and drop-offs will be scheduled.
